Notion and Todoist are two popular software options that offer both task management features and limited project management features.

Based on my hands-on testing, I found that Todoist is best for people looking for a digital to-do list app, while Notion is a good option for small teams that need simple project management features as well as note-taking tools.

In this Notion vs Todoist review, I'll cover the pricing plans, features, and pros and cons to help you decide which is the right option for your needs and budget.

Notion and Todoist offer multiple pricing plans in addition to a free forever plan that supports a limited number of users. Notion is more expensive than Todoist, but users also get more features with Notion, so the cost upgrade may be worth it for teams looking for project management software for small businesses. However, if you're just looking to manage your personal tasks, I think any of the free plans will probably meet your needs.

Notion prices

Notion offers four pricing tiers:

  • Free: This forever free plan costs $0 and allows you to upload files up to 5 MB and offers a 7-day page history.
  • Further: This plan costs $10 per user per month billed annually or $12 per user per month billed monthly. It allows you to upload unlimited files and offers a 30-day page history.
  • Business: This plan costs $15 per user per month billed annually or $18 per user per month billed monthly. It allows you to upload unlimited files and offers a 90-day page history.
  • Company: This plan requires a custom price quote from the sales team and includes additional features such as unlimited workspaces and unlimited extensions.

The optional Notion AI costs $8 per user per month billed annually, or $10 per user per month billed monthly. A trial of the Business plan and a demo or trial of the Enterprise plan are available upon request.

Todoist Pricing

Todoist offers three pricing tiers:

Notion vs Todoist: Feature Comparison

Task management

Winner: Notion

Both Notion and Todoist have excellent task management capabilities. You can create and organize tasks, set reminders, set recurring tasks, and track task progress on both platforms.

Todoist offers some collaboration tools, such as comments and the ability to assign tasks to someone, but many of them are protected by the most expensive pricing plan.

Notion, meanwhile, offers broader tools, which is one of the main reasons its project management features earned good marks in our expert ratings. For example, Notion offers task dependencies, while Todoist does not. Todoist is great for individual use; In fact, I used it to manage my own personal to-do list for many years, but I recommend Notion for teams.

Project views

Winner: Notion

Notion offers six project views to choose from (table, list, kanban board, gallery, calendar, or timeline), while Todoist only offers three (list, calendar, and kanban board). While these options are a great start, the platforms lack some popular project views, such as native Gantt charts, which I was disappointed to see.

To get additional project views, you'll need to rely on third-party plugins or switch to more robust enterprise project management software.

Pre-designed templates

Winner: Notion

Pre-designed templates mean you don't have to start each project from scratch, saving you time and effort. That's why I really appreciate that Notion offers so many templates (over 10,000) that users can copy and customize to fit basically any project.

In Todoist, the pre-designed templates are simpler and geared towards creating and managing tasks. Users who want quick to-do list setup will probably enjoy using Todoist more, but if you're looking for a variety of templates, then Notion is the clear winner.

Winner: Notion

Notion offers specialized note-taking tools that are missing from Todoist. These include the ability to create custom tables and databases, a wider range of formatting options, and media integration tools. With Notion, I was also able to create a hierarchical structure within the notes by adding subpages and sections.

In contrast, Todoist only offers basic note-taking tools designed to provide context for specific tasks. You have the option to integrate with different third-party note-taking apps to extend Todoist's functionality, but if you're looking for an all-in-one platform, Notion is the clear choice here.
